Office Manager

mfpen is looking for an experienced Office Manager to ensure smooth, efficient daily operations and oversee long-term projects. In this role you will oversee administrative duties, manage project timelines and budgets, coordinate staff and vendors, and foster a positive workplace environment. You will be the backbone of the company, acting as the primary point of contact for internal and external operations.

The ideal candidate has experience in office administration or project management, with strong interpersonal and written communication skills to liaise with staff and external vendors. As this is a key role within our company, exceptional time management, multitasking and problem-solving abilities are essential.


Key Responsibilities (Include, but are not limited to):

· Project Management: Determine project objectives, create comprehensive roadmaps, and build realistic timelines in collaboration with relevant teams. Motivate cross-functional teams, delegate tasks, and provide guidance to ensure alignment on project goals and deadlines.

· Event, Project & Travel Production: Coordinate company events, showrooms, photoshoots and travel arrangements, including personnel accommodation, talent management and venue hire to ensure seamless execution and foster a positive, collaborative environment.

· Team Support: Assist with onboarding new employees, maintain personnel records, and support staff scheduling and training.

· Compliance & Policy: Ensure compliance with workplace regulations and maintain health & safety documentation and procedures.

· Administrative Operations: Oversee daily workflows, manage common areas, handle correspondence, and maintain digital and physical organisational systems.

· Facility & Vendor Management: Monitor and order office supplies and coordinate with building maintenance and external suppliers.


Profile and qualifications:

· Based in Copenhagen (or willing to relocate at own expense)

· Minimum 2 years' experience in a similar role

· Relevant education is an advantage

· Highly organized, structured, and proactive in follow-ups

· Advanced skills in Microsoft Excel and/or Google Sheets

· Fluent in English, both written and spoken (Danish is not a requirement)

· The position is full time and based in the mfpen Copenhagen office
